Condo visitor parking

Condo visitor parking: rules the system can support

Visitor parking becomes difficult when residents, guests and managers interpret the rules differently. A useful system applies a clear policy and gives staff a way to resolve the cases that policy does not settle automatically.

The decision

Define what a guest receives

Decide whether registration grants permission to use available visitor spaces or reserves a specific place. State duration limits, overnight rules, repeat visits and which resident is responsible for the invitation.

A valid visitor credential does not prove a space is available. If the building promises capacity, the allocation process must support that promise.

Lexoh’s configured visitor and condo access workflows can support temporary rights.

Make registration practical

Specify who creates the visit and what information is needed: host, vehicle where relevant, destination and period. Choose a credential supported at the entrance, with instructions for visitors who cannot use a phone.

Confirm the actual resident and administrator permissions rather than assuming a particular self-service portal or approval step.

On a narrow screen, scroll the table horizontally to see every column.

Visitor parking decisions to record before launch
DecisionDefine for the buildingTest with a guest
Permission and capacity Available spaces or an explicitly reserved stall Arrival when the visitor area is full
Time and changes Start, expiry, extension and cancellation rules Late arrival and approved extension
Vehicle and credential Required vehicle details and supported entry method Replacement vehicle or unavailable phone
Help and departure Authorized responder and return route to the car Unanswered call and pedestrian re-entry

Separate garage entry from other access

A guest may need the visitor parking area and a route to the lobby. That does not necessarily include storage rooms, resident parking areas or every pedestrian entrance.

Test the full journey, including departure. A parking pass that opens the vehicle entrance may not work at the pedestrian door used on the way back to the car.

Handle changes and misuse consistently

Define extensions, replacement vehicles, cancelled visits and repeat use by the same guest. An authorized operator should be able to distinguish a data correction from an exception requiring approval.

Entry records alone cannot prove which stall a vehicle occupied or whether it remained throughout the interval. Use the available evidence and the building’s approved process before treating a discrepancy as misuse.

Review capacity and workload

Track visitor demand, assisted entries and recurring complaints. If spaces are regularly full, changing the reader will not solve the capacity issue. The board may need to revise duration, allocation or enforcement policy.

Before launch, test an expired visit, a changed plate, a full visitor area and an unanswered help call. Give the manager a documented process for each.

Questions

Practical questions

What if a visitor has no working smartphone?

Choose a supported alternative before the visit, such as a physical credential or assistance from an authorized person. Include where to obtain it and how to return to the car. Test the option at the actual entrance; a registration email alone is not an access method.

Does an expired parking pass prove that a vehicle overstayed?

No. Pass expiry defines the end of the permission, while an overstay concerns the vehicle’s presence. Check the available entry, exit or on-site evidence and follow the building’s approved procedure. A missing exit event is not conclusive on its own.

Does registering a guest reserve a stall?

Only if the site’s capacity and reservation workflow explicitly do so. Otherwise the right may be subject to availability.

Can residents grant permanent access to visitors?

The building should define who may issue which rights and their limits. Temporary visits should not silently become permanent credentials.
