How to automate a campground entrance
Campground automation works best when returning guests can enter predictably and first-time visitors know where to go. The gate, booking process and reception procedure need to agree.

The decision
Map the arrival types
Separate seasonal campers, short stays, day visitors, deliveries and service vehicles. For each, define the entrance, permitted period, credential and any reception step. Include extra vehicles and guests arriving before check-in.

Prepare the lane for the actual vehicles
Allow for trailers, motorhomes and drivers unfamiliar with the entrance. Review turning space, queues, reader reach, signs and pedestrian movement. Keep a driver who needs assistance from blocking every other arrival where the layout permits.
Choose plates, tags, cards or codes through that lane assessment. A seasonal campground may avoid winter operation, but dirt, glare, vehicle changes and missed reads still need an exception path.

Connect bookings through their changes
Define when a booking creates access and what happens when dates, vehicles or payment status change. Test cancellations as carefully as new arrivals. Reception needs a way to identify records that have not synchronized.
Do not assume a booking confirmation is already a valid gate credential. The guest’s instructions should name the entrance, when access begins and how to obtain help.
Make late arrival a supported service
Name who answers outside reception hours and what that person may check or authorize. Include an unanswered-call procedure and a local contact for physical faults.
Test a late arrival from the driver’s position. A connected intercom does not supply an on-duty operator by itself, and a remote command cannot remove an obstruction or repair a barrier.
Commission the season, including closure
Confirm the selected controller’s behaviour without internet and test power loss separately. Document any locally stored rights, delayed updates and the manual operating procedure.
For seasonal closure, plan equipment preparation, recurring fees and the expiry or suspension of access. For year-round sites, include snow clearance and winter testing. Review the first busy weekend’s exceptions before making further changes.

Practical questions
Can a guest arrive when reception is closed?
Plan that service only when the guest has a valid entry method, clear arrival instructions and the agreed assistance path. Confirm the answering hours and fallback contact. Automated entry alone does not provide overnight staff or resolve every booking exception.
What should we test with a motorhome or trailer?
Test approach, stopping position, credential reading, the complete vehicle movement and exit with the installer. Have the installer verify the selected equipment’s detection and protective functions for the site. Keep pedestrians on a planned route and agree on assistance for a vehicle that cannot clear the lane.
Can we keep our booking software?
Possibly. Confirm its interfaces and the required booking-to-access workflow before committing to an integration.
Should seasonal campers use plates or tags?
Choose through a site assessment. Consider vehicle changes, read conditions, administration and the fallback method.
